Depending on how you use ELMA, we may collect the following categories of information:

• Account and profile information: name, email address, phone number, organization name, and login credentials.
• Business configuration: greetings, voice preferences, business hours, knowledge base content, contact directories, and other settings you provide to train your AI receptionist.
• Communication content: call and chat transcripts, messages, summaries, and related metadata generated when customers interact with your AI receptionist. Recordings may be collected if you enable them in your account settings.
• Calendar and booking data: availability, event details, and booking confirmations when you connect Google Calendar, Outlook, or similar services.
• Contact form submissions: information you send through forms on our marketing site (such as name, email, phone, organization, and message).
• Usage and device data: IP address, browser type, device information, pages viewed, and approximate location derived from IP address.
• Cookies and similar technologies: used for essential site operation, preferences, and (if enabled) analytics.

We use information to:

• Provide, operate, and improve the ELMA AI receptionist platform.
• Answer calls and chats, route messages, and book appointments on your behalf according to your configuration.
• Send service notifications, booking confirmations, and call/chat summaries by email.
• Respond to support requests and contact-form inquiries.
• Maintain security, prevent fraud or abuse, and comply with legal obligations.
• Analyze product usage in aggregate to improve reliability and features.

If you connect Google Calendar or other Google APIs to ELMA, we access Google user data only as needed to provide the features you request, such as checking availability and creating calendar events.

ELMA's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not sell Google user data. We do not use Google user data for advertising. We do not use Google user data for independent AI/ML model training that is unrelated to providing or improving user-facing ELMA features. Access to Google user data is limited to personnel and subprocessors who need it to operate and support the service, subject to confidentiality obligations.

We do not sell your personal information. We may share information with:

• Service providers who help us operate ELMA (for example, cloud hosting, email delivery such as Amazon SES, and infrastructure vendors), under contractual confidentiality and security obligations.
• Calendar and communication providers you choose to connect (such as Google and Microsoft Outlook) to perform bookings and related actions.
• Professional advisors or authorities when required by law, legal process, or to protect rights, safety, and security.
• A successor entity in connection with a merger, acquisition, or sale of assets, subject to appropriate confidentiality protections.

We use cookies and similar technologies that are necessary for the website and application to function. If we use analytics tools, they help us understand how visitors use our site so we can improve it. You can control cookies through your browser settings. Disabling certain cookies may affect site functionality.

We retain information for as long as your account is active and as needed to provide the service, resolve disputes, enforce agreements, and meet legal, tax, or accounting requirements. You may request deletion of account data as described below, subject to lawful retention needs.

ELMA is designed for business use and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.

Focusteck may process and store information in the United States and other countries where we or our service providers operate. If you access ELMA from outside those locations, you understand that your information may be transferred to and processed in countries that may have different data-protection rules than your own.

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will change when we do. Material changes may also be communicated by email or an in-product notice. Continued use of ELMA after an update means you accept the revised policy.
